Privacy Notice

As customers of Woodlife Trails, we may hold some information about you. Your name, email address, and a postal address and telephone number. This is a short note setting out everything you could ever wish to know about how we collect, use and store this information. But if you still have any pressing questions after reading this, please contact us using the contact page.

IMPORTANT NOTE: When we talk about “information”, we are only referring to your contact details. We never have access to your financial information when you make payments using PayPal, bank transfer or iZettle. All sensitive financial information is held securely by the processing companies, and they never share this with us, or anyone else.

How we collect information

We use Mailchimp to manage our mailing list. You will only ever end up on our mailing list if you have signed up for our newsletter, or if you have specifically asked us to add you to it.

The website provider we use, UK2net and WordPress, has cookies enabled for this site to make sure your computer (or other device) is recognised when you visit here again. You can find out more about cookies in general here.

Who has access to your information

In a nutshell, just us! We are the only ones who ever have access to your information, and we never pass this on to anyone else.

We use MailChimp as a way of managing our mailing list, and your details are also stored on their servers (click the links to find out more about their Privacy Policy and Terms of Use).

If you pay using iZettle , they will also hold information about you. You can read their Privacy Policy here.

How we use your information

We may send out regular emails to those who have signed up to the mailing list to receive information about Woodlife Trails. This is the sort of thing you can expect to receive:

– Dates for your diary involving Woodlife Trails events and courses

– Information about what’s happening with Woodlife Trails

– Occasionally we will send out details of other events which we think might interest you.

How we store information

Mailchimp hosts details of all members of my mailing list on their secure servers.

We keep an electronic spreadsheet of all our clients and their bookings. This is held on our password-protected laptop in a secure locked environment when not in use. We keep this spreadsheet solely for course administration, accounting and tax purposes (we need to keep all sales records for at least 6 years).

Medical Information

As an outdoor skills provider, we are obliged to request a certain amount of medical information in the very rare case of an emergency or accident on one of our courses. This is for insurance purposes and to ensure we provide the correct procedure for your particular welfare in an unlikely case of an emergency. The information we request is:

–  Any previous or current medical conditions which may affect your performance on a course

– Any medications that you currently use

– The location of any medicine on your person or backpack

-Your blood group

– A contact in case of any emergency

This information is only stored until the completion of the course when it is deleted unless an incident has occurred.

The medical information will only be shared with a health-care professional or first-aider if there is an incident when you are on a course.

Your rights

You can ask us at any time what information we hold about you, and we will give you full details free of charge. You also have the right to ask that your details be deleted, amended or transferred. If you ever change your mind about what information, if any, you want us to hold on your behalf, just contact us.
